Booking & quotations

Each quote is tailored to your specific needs, but our proposals typically include:

Absolutely. Custom itineraries are what we do best. We don't sell packaged tours—every journey we create is tailored to your clients' specific interests, pace, and preferences. Whether it's culinary immersion, cultural deep-dives, active adventures, or slow travel, we build it from scratch.

We accept:

  • Bank transfer (SEPA)
  • Major credit cards (Visa, Mastercard, American Express)

Payment terms are specified in each quote and confirmed upon booking.

Our standard payment schedule is:

  • 20% deposit at time of booking
  • Balance (80%) due 30 days before departure

For bookings made within 30 days of departure, full payment is required at time of confirmation. Different terms may apply for specific hotels, experiences, or museum tickets that require full prepayment.

All our prices are quoted in Euros (€). If you require pricing in other currencies, we can provide indicative amounts, but please note that final pricing remains in EUR and may be subject to exchange rate fluctuations.

Standard quotes are valid for 15 days from the date of issue. This allows sufficient time for decision-making while ensuring availability and pricing accuracy. If you need an extension, please contact us—we're happy to reconfirm availability when possible.

Cancellations & modifications

Our standard cancellation policy is:

  • 20% non-refundable deposit for all bookings
  • 50% cancellation fee (including deposit) if canceled 30-21 days before arrival
  • 75% cancellation fee (including deposit) if canceled 20-15 days before arrival
  • 100% cancellation fee if canceled 14 days or less before arrival

Important: Different cancellation terms may apply for specific suppliers (hotels, museums, experiences) that require full prepayment at booking. These will be clearly communicated in your quote and booking confirmation.

Yes, we can assist with modifications subject to supplier availability and terms. Please note:

  • Minor changes (names, special requests) are typically possible at no charge
  • Date changes, hotel upgrades, or itinerary modifications may incur fees from suppliers
  • Changes requested within 30 days of departure are subject to availability and may involve cancellation penalties

Contact us as soon as possible if you need to modify a confirmed booking.

Strongly recommended. Travel insurance protects against unforeseen events like illness, injury, trip cancellation, lost luggage, and travel delays. We work with leading insurance providers and can include a tailored policy in your quote. Insurance must be purchased at the time of booking or within 14 days to cover pre-existing conditions.

If your cancellation is due to covered circumstances (illness, injury, family emergency, etc.) and you have travel insurance, you may be able to reclaim cancellation charges from your insurance provider. We'll provide all necessary documentation to support your claim.

Refunds, where applicable per the cancellation policy, are processed within 14 business days of the cancellation notification. Refunds are issued to the original payment method. Please note that the 20% deposit is always non-refundable as it covers our administrative costs and supplier commitments.

If something isn't right, we want to know immediately so we can fix it on the spot. Travelers should contact us right away via the emergency number provided. We'll:

  2. Take immediate action to resolve the issue locally
  3. Follow up to ensure satisfaction
  4. Document the incident for quality improvement

If a matter cannot be resolved during the trip, we request written feedback within 28 days of return so we can investigate properly and address the situation.

While we specialize in ground services within Italy, we can assist with flight recommendations and coordination. However, we typically don't book international flights directly. We're happy to work with your preferred travel advisor or airline for seamless coordination of arrival and departure times.

We recommend:

  • 60-90 days for standard trips during mid-season
  • 90-120 days for peak season (Easter, July-August, Christmas)
  • 30-60 days minimum for special experiences, private guides, or exclusive venues
  • As early as possible for large groups, holiday periods, or specific event dates

Some properties and experiences book up 6-12 months in advance, especially in high season.

Flight delays happen. When they do:

  1. Contact us immediately via the emergency number
  2. We'll adjust your ground transportation and notify hotels
  3. Our team coordinates with all suppliers to minimize disruption

We monitor major flight disruptions proactively and will often reach out to you before you contact us.
